6. Lawful Bases for Processing

We process personal data under UK GDPR on the following lawful bases:

Special category data
If you share health-related information, we rely on one or more UK GDPR Article 9 conditions, typically:

  • Explicit consent (Article 9(2)(a)) in enquiry contexts; and/or
  • Health or social care provision and management where applicable (Article 9(2)(h)) with appropriate safeguards; and/or
  • Substantial public interest / safeguarding where relevant and lawful (supported by UK law conditions), where necessary and proportionate.

We only process special category data where there is a clear justification and appropriate safeguards.

7. Who We Share Personal Information With

We do not sell personal data.

We may share information with:

  • Authorised staff within Tavimba House who need it to respond to you
  • Wider Jessamy ecosystem entities only where necessary to respond appropriately, coordinate referrals, manage governance obligations, or provide requested information—always proportionately and securely
  • Service providers who support our website and communications (e.g., web hosting, website forms, security/anti-spam, analytics)

  • Regulators and statutory bodies where required by law or safeguarding duties

Where third parties process data on our behalf, we ensure suitable contractual protections and confidentiality requirements.

8. International Transfers

We aim to keep data within the UK. If any website or analytics providers transfer data outside the UK, we ensure lawful safeguards are in place (such as UK adequacy regulations, or appropriate contractual clauses and risk assessments).

9. How Long We Keep Personal Information

We keep personal information only for as long as necessary.

Typical retention logic:

  • General enquiries: retained for a reasonable period to manage follow-up and demonstrate proper handling, then deleted or anonymised.
  • Suitability enquiries and referral discussions: retained for a longer period to maintain a defensible audit trail (particularly where safeguarding considerations or placement decisions were made).
  • Safeguarding-related records: retained in line with safeguarding best practice and any applicable statutory requirements.

Retention statement: We operate a documented retention approach across the Jessamy ecosystem, applying the shortest retention period that is consistent with legal, safeguarding, and governance requirements.

10. Your Rights

Under UK GDPR you have rights, including:

  • Access to your personal data
  • Correction of inaccurate data
  • Erasure (in certain circumstances)
  • Restriction of processing
  • Objection to processing (where we rely on legitimate interests)
  • Data portability (where applicable)
  • Withdraw consent (where processing is based on consent)

Some rights are not absolute. For example, where we must keep information for safeguarding or legal reasons, we may not be able to delete it.

To exercise your rights, contact: tavimbahouse@jessamystaffing.co.uk.

11. Complaints

If you are unhappy with how we handle your information, please contact us first so we can put matters right. You also have the right to complain to the Information Commissioner’s Office (ICO).

12. Keeping Your Information Safe

We use appropriate organisational and technical measures designed to protect personal data, including access controls, confidentiality obligations, and secure handling arrangements. No system is risk-free, but we take protection seriously and respond to issues promptly.
